Executive Assistant to Executive Director (Fixed Term)
High-level EA role supporting the Executive Director Strategy & Urban Development—be at the heart of strategic decision-making and governance in a dynamic local government environment
Napier City Council is looking for a highly organised and proactive Executive Assistant to support the Executive Director Strategy & Urban Development on a one-year fixed-term basis, covering parental leave. In this role, you’ll keep the director and leadership team on track by managing diaries, scheduling meetings, arranging travel, coordinating correspondence, and ensuring the smooth flow of information across the directorate.
This role is ideal for someone with experience supporting senior leaders, who thrives on organisation, attention to detail, and discretion. You’ll be the go-to person for keeping the Directorate running efficiently, supporting the leadership team with day-to-day administrative tasks, and helping ensure nothing slips through the cracks during this one-year assignment.
Te Āheinga - The Opportunity
Provide executive assistance, managing diaries, correspondence, meetings, travel, and professional development.
Act as first point of contact, managing enquiries and information flow.
Prepare reports, presentations, and executive correspondence.
Support governance processes, including Council reporting, ELT briefings, and compliance requirements.
Coordinate corporate and statutory reporting, including Annual Plan and Long Term Plan contributions.
Assist senior leaders across the Directorate with projects, initiatives, and operational requirements.
Maintain efficient office systems and support a high-performing team culture.
He kōrero mōhou - About You
National Certificate in Business Administration Level 4 (or equivalent experience).
3–4 years’ experience supporting senior leaders with confidentiality and discretion.
Experience in governance, reporting, and decision-making environments.
Advanced Microsoft Office skills and strong report-writing ability.
Highly organised, self-motivated, adaptable, and able to manage competing priorities.
Strong interpersonal skills, integrity, and political awareness.
Local or central government experience is highly desirable.

This is a one year fixed term opportunity covering for a period of parental leave. You will be working 40 hours per week, Monday to Friday, and based in Napier’s CBD.
The annual salary package for this role is between $73,300-$86,200 (including KiwiSaver), with the final offer depending on your skills and experience.
