The Personal Assistant (shared) provides high-level administrative and strategic support to the Head of Water Operations and the Head of Strategy & Investment, ensuring the seamless operation of the Water Services leadership team. You’ll manage complex calendars, coordinate communications, and keep documentation and project workflows organised, accurate, and on time — all while playing a key role in supporting strategic initiatives.
Te Āheinga - The Opportunity
- Provide comprehensive support to the Head of Water Operations and Head of Strategy & Investment, including calendar, email, travel, meeting coordination, and documentation such as reports, presentations, and Council papers.
- Coordinate meetings, workshops, and briefings, including agendas, minutes, action tracking, and progress reporting on key projects and priorities.
- Facilitate communication with internal teams and external stakeholders, ensuring operational alignment while handling sensitive information confidentially.
- Assist with budget monitoring, procurement, expenses, and improvements to administrative and operational processes.
He kōrero mōhou - About You
- Minimum 3 years’ experience as a Personal Assistant, in business administration, or a related field.
- Exceptional organisational, time management, and communication skills, with a high level of discretion and professionalism; proficient in Microsoft Office and digital collaboration tools.
- Demonstrated ability to manage multiple stakeholders and competing priorities independently
- Highly desirable: experience in water, utilities, infrastructure, or government environments; familiarity with project tracking or reporting systems; and a tertiary qualification in Business Management or a related discipline.

This is a permanent, full time opportunity working 40 hours per week, Monday-Friday. You will be based in Napier.
The annual salary package for this role is $68,500-$80,600 (including KiwiSaver), with the final offer depending on your skills and experience.
