Are you a highly organised administrator with a passion for delivering exceptional service? Join our City Services Administration Team for a 12-month fixed term basis, where you’ll play a key part in ensuring smooth operations and high-quality support aligned with Council strategies and policies.
In this role, you’ll be at the heart of our operations, providing courteous and efficient advice to the public on City Services matters. You’ll be responsible for handling accurate processing of Depot timesheets, leave records, and other tasks to ensure wage processes align with Council policies and agreements.

Key Responsibilities include:
- Manage the daily processing of timesheets, including receiving, checking, batching, and inputting them into the job costing system to meet payroll deadlines.
- Ensure timesheet data complies with employment agreements.
- Work with Payroll weekly to review Depot timesheets, addressing overtime, ACC, and other issues.
- Verify all timesheets are submitted and processed for each pay period.
- Prepare and review job costing reports for accuracy before finalizing them.
- Handle leave requests, ensure approvals, and maintain records for wage staff leave.
- Approve and process timesheets and invoices for contract staff (e.g., Programmed Skilled Workforce) within required timeframes.
- Respond to customer calls and inquiries, providing assistance as needed.
- Create and assign service requests to staff, ensuring they are completed within agreed timeframes.
To be considered for this role, you will have:
- NCEA Level 3 or equivalent.
- 2–3 years of experience in customer service or administration.
- 5 years of payroll or similar experience.
- Knowledge of employment collective agreements (preferred).
- Strong computer skills with accurate data entry, in Microsoft Word and Excel, with the ability to learn new software.
- Commitment to providing excellent customer service.
- Strong communication and interpersonal skills.
This is a fixed term, full time opportunity working 40 hours per week (Monday to Friday) and based out of our Depot, in Onekawa Napier. We will be interviewing applications as we receive them and may close the role when we have found the right person.
