As a City Operations Administration Assistant, you’ll be at the heart of keeping our essential services running smoothly. Providing high-quality administrative support across operational areas like fleet, finance, payroll, waste, and animal control, you’ll ensure our teams can deliver safe, reliable and responsive services to our community. From handling enquiries and coordinating service requests, through to maintaining accurate records, managing documentation and supporting multiple operational teams, your work is key to helping our people focus on what they do best. This is a varied role in a fast-paced environment where no two days look the same — and where your professionalism, attention to detail and commitment to great customer service will make a real difference for Napier.
Te Āheinga - The Opportunity
- Support our fleet, plant and operational functions, managing records, coordinating maintenance and ensuring smooth communication across teams.
- Deliver frontline customer service, responding to calls, emails and walk-ins while accurately logging, assigning and tracking service requests.
- Provide finance and payroll support, including purchase orders, invoice matching, timesheet processing and maintaining confidential and compliant records.
- Assist with animal control, waste services and general office administration support, helping keep information, systems and workflows operating efficiently.
He kōrero mōhou - About You
- At least 4–5 years’ experience in administration, customer service, payroll or related fields, supported by solid computer literacy and confidence learning new systems.
- Strong organisation and time-management skills, with the ability to juggle competing tasks while maintaining accuracy and professionalism.
- Excellent communication and customer service, ensuring every interaction with staff, contractors and the community is respectful, informed and solutions focused.
- A proactive, detail-driven working style, with initiative, reliability and a genuine commitment to continuous improvement and teamwork.

This is a permanent, full-time opportunity working 40 hours per week, Monday-Friday. You will be based at our operational site in Onekawa, Napier.
The annual salary package for this role is between $63,700-$75,000 (including KiwiSaver), with the final offer depending on your skills and experience.
